Terms and Conditions

Before submitting a proposal for a Practical Session or Workshop at the 2025 National Transport Conference, please ensure you are aware of the following terms and conditions.

Responsibilities of the Submitter

• I have previewed this proposal and confirm that all information is correct. I accept that the content of this proposal may not be able to be modified after final submission.
• I confirm that I have the rights to submit this proposal, it is my own work or work of my organisation  and that I have been elected as part of this project to submit this proposal for consideration. The information I have provided does not infringe any third part rights including, but not limited to, intellectual property rights.
•  I am aware should my proposal be successful, I am responsible for organising and providing any equipment, organising any logistics, printing etc to run the practical session/ workshop or host the tour. I understand that I am responsible for organising any required insurances for any proposed tours. 
• I am aware that I am responsible for arranging my own ticket to the AITPM National Transport Conference and organising any related travel requirements.
• Should the proposal be successful, the main contact is responsible for coordinating any other co-presenters for the session and advising AITPM in a timely manner.
• I agree that all details provided can be saved by the AITPM for use at the National Transport Conference, and that the main contact listed will be notified of the status of the proposal. The main contact is responsible for informing all others listed in the proposal of the status of the proposal.  

Proposal Review and Information Handling

• Your proposal and any information provided in relation to your proposal can be consulted on by the AITPM National Transport Conference Executive Committee, AITPM National Office and any other relevant reviewers from the Industry (if required).
• I acknowledge that AITPM reserve the right to request the adaptation of my proposal to meet Conference requirements.
• Once approved your proposal and related information may be shared and handled by third parties providing logistics such as the professional conference organiser and the venue in regards only to the Conference.
• The AITPM National Transport Conference Practical session submission and review is hosted through AITPM's website and CRM and all approved applications will be managed securely through EventsAIR (AITPM's chosen online conference/event management system).

Withdrawing and Cancellation

• Presenters may withdraw their proposal at any time before the end of early bird registrations and should notify AITPM in writing, via email to conference@aitpm.com.au.
• After earlybird registration, presenters may withdraw their abstracts based on sickness, injury or other serious personal issues. In addition, they may withdraw if they are unable to travel due to restrictions by the government and/or their employer. They must be able to document these instances. Withdrawing without proper reasoning or without contacting AITPM any conferences fees being forfeited and access to conference venue or materials removed.
• Presenters are invited to contact AITPM in case of special cases or in such event that the content of their presentation becomes irrelevant or no longer timely. AITPM will always try to be accommodating when approached at an early stage or in case of an emergency.
• AITPM may reject any presentation, cancel a presentation (also onsite and during the presentation) if the presentation is not in line with AITPM values or the values of the AITPM National Transport Conference. Any content containing elements of discrimination or incitement to violence or hate is specifically forbidden at the AITPM National Transport Conference and any on any AITPM platform.
• Any content presented cannot be considered (to be held) confidential. Confidential information should not be presented. Presenting any confidential information or any information or idea’s not open to the public falls under the responsibility of the speaker.

Response requirements

• Presenters will need to be reachable by AITPM with the purpose of evaluating the abstract and preparing the conference. The presenter submitting the abstract must distribute the communication to any other speakers and must respond within 7 working days to all AITPM queries. Not answering in a timely fashion or not providing the required information may result in cancellation of the presentation and the forfeit of conference fees.
